Should My Auto Repair Shop Use AI for the Front Desk?

Short answer: Not for the front of the call. The only first-hand report I can find from inside an actual repair shop is a tech watching customers hang up on the robot, then finding the appointments it booked were wrong. The job with a genuine case behind it is the unglamorous one at the back: the declined and deferred work sitting in your inspection records that nobody has time to call. Even there, what decides whether it pays is not the model. It is whether the system can tell that a recommendation was already done.

One thing to know first. The threads where shop owners ask this are unusually full of people selling the answer. I have marked every one, because hiding that would make thin evidence look thicker than it is.

"Has anyone tried using an AI receptionist? Curious about real results."

That is the title of a November 2025 thread in r/autorepair, 40 comments, of which 15 still have readable text and two more show as removed. It ends: "Do you think AI answering calls and managing bookings makes sense, or is the human touch still too important?"

Now the disclosure, which is most of the story. The asker's handle is JuraVox. One commenter ends their advice with "I'm looking for a few more businesses to try my AI receptionist for free in return for a testimonial. DM if ur interested." Another, further down, offers "I actually have an agent live right now for medical clinics." Two accounts posted the same comment character for character. Nothing positive there is owner evidence.

What is left is the objection. One commenter says they would hang up and try somewhere else. Another goes further:

If I call somewhere and a AI answered the phone then I'm hanging up and taking my business elsewhere. If you're too cheap to hire a human then what other corners are you cutting?

That second sentence is the one to sit with. It is not a complaint about robots. It is a customer reading your phone system as a signal about your torque wrench, in a trade whose whole sales problem is that people already suspect they are being ripped off. No call-handling dashboard shows that cost, which is why a 35-seat restaurant whose regulars want a person is not the room that gets away with it.

The one report from inside a shop that ran this is buried in an edit. A tech posted to r/mechanics in June 2026, 41 comments, about their service writers using ChatGPT to argue with them about diagnoses. Then they remembered the phones:

EDIT: I forgot to add, for a few weeks, instead of customers calling the desk, their calls would be answered by an ai agent with a name and everything, and usually about 30 seconds in the customers would realize this isnt a real person and hang up, but when the robo receptionist would schedule their appt, it would either be nothing like the customer explained, and it would also be booked wherever it felt necessary, without checking times/schedule etc.

Three failures in one sentence. Customers hung up. The appointments it did book did not match what the customer said. And it dropped them into the schedule without checking capacity. Note "for a few weeks" too, the shop's own verdict.

One caveat I will not hide: a commenter called the post "chatgpt written rage bait" and the poster denied it. Nobody resolved it. I give it weight because its specifics are wrong in the way real things are wrong.

The cheapest partial fix for the hang-up half comes from another trade. A home-services owner in a July 2026 r/smallbusiness thread found the pushback was not coming from the older customers everyone expects. It came from the 35-year-olds who worked out mid-sentence that the voice with a human name was a machine. Older callers, they write, "treated it like an answering machine that talks back". The fix was disclosure: complaints "basically stopped once we made it announce it was automated in the first breath. People forgive a robot for being a robot, they don't forgive it for pretending." One unaudited account, not auto repair, and the only fix anyone here names. It costs nothing to try.

"how do you handle calls when you're literally in the middle of a job?"

An April 2026 r/autorepair thread, 12 comments: "Customer calls, no answer, customer calls the next guy. Is there a standard way people handle this or does everyone just accept it as part of the deal?" Disclosure again: one reply was a single line, "You selling a BDC service?", which the asker never answered.

Not one answer is software. One owner:

We have one of the advisors call them back. In a really small shop the owner/whoever they have on the front desk does it. If it's important they will leave a message

Another, in full: "I hired a person who sits by the phone and does it for me." A solo operator said missing calls comes with the territory, and a prospect without the patience to leave a voicemail probably does not want their services.

What none produced, and nobody asked for, is a number. Same hole as the after-hours volume test for an HVAC company. A three-bay shop losing four calls a week, all after close, is buying nothing. Your phone keeps the log already.

"it is just a dumb appointment counter"

Booking looks like the safe job. u/Squeeums, in an October 2025 r/AutoShopOwners thread, replying to a developer pitching a quoting tool:

I'm currently using a "smart" scheduler where customers can schedule an appointment online. For as smart as it is it still doesn't know that it can't schedule another job for a tech when he already has an 8 hour job on his schedule, it is just a dumb appointment counter.

Their general rule is the best line in this whole body of evidence: shop software "is written how the software engineer thinks a shop runs, instead of how shops actually run." A voice agent bolted onto a scheduler that cannot see tech capacity does not book appointments. It books promises. Which is exactly what the r/mechanics tech watched happen, from the other end.

"does anyone actually follow up on declined work? Or does it just die in the system?"

Here the case turns. A July 2026 post in r/AutoShopOwners, 7 comments, from a former tech, who lists what piles up on every inspection: pads at 3mm, seeping struts, tires that would not make winter. Then:

It all got documented in the system and then… nothing. Nobody ever called those customers back. Same with estimates: guy says "let me think about it," walks out, and that quote just evaporates. When the counter got slammed, follow-up was always the first thing to die.

Disclose it: they write that they are "not selling anything in this thread" and have "been building automation tools since leaving the trade." One reply reads like a vendor qualifying them; another names AutoLeap favourably.

An owner confirmed the scale, their arithmetic labelled a guess:

You are correct probably 90% of shops never do a follow up at all. My old boss used to tell me "don't call them cause they'll always complain". Follow ups are important cause even if you're only turning 10% back into tickets, it's still worth the phone call. The other problem is most service advises are order takers. To do a thorough job of selling the declined work you have to be a decent salesman and know how to overcome objections.

Then u/Squeeums again, the passage that should decide your purchase:

Multiple CRM programs have automated declined work follow ups. The issue I have run into with all of them is either that they rely on the declined recommendations in the SMS (the system in my SMS requires a significant amount of manual entry), or have a completely separate system (that also requires significant manual work). None of the systems I've tried will automatically clear a recommendation when the work is performed requiring manual review and clearing of completed work for each vehicle. What you are looking at is very much an issue that other have attempted to resolve, I've yet to find a smooth resolution that doesn't require significant manual work on a continuous basis.

That is not about whether AI writes a friendly text. It is about state. If the system cannot tell the struts got done in March, it texts that customer about their struts in April, and you have automated an insult. Ask every vendor this in writing first: when the work is completed, what clears the recommendation, and does it clear automatically. Same test as verifying against the artifact, not the system's own report of success.

One owner reports the other side, a single unaudited account:

When we were on paper, declined work basically died unless the customer happened to come back. Everyone had good intentions but once the phones started ringing, follow up was the first thing to get pushed aside. We switched to Autoleap a while back n having automated reminders for declined work and upcoming services has brought back more jobs than I expected. It's one of those things nobody has time to do manually but it definitely pays off.

"customers hang up as soon as we mention the services they didn't take last time"

A different owner asked the same question in r/autorepair in June 2026, 9 comments, then reported what their shop had already tried:

Do you email, call or text? We've been calling but customers hang up as soon as we mention the services they didn't take last time they came in

That is a message problem, not a capacity problem, and automation does not touch it. The same thread supplies the counter-argument to the whole project:

This is why a diag fee is charged. We tell the customer it will be deducted from the cost of the repair. The majority of people that dont follow through on repairs are not loyal customers. Some are price shopping and others just drive their vehicles until the wheels fall off.

If that describes your declined list, it is not revenue in waiting. It is a record of people who were never going to buy. Sort the list before you automate it, which is the same question a dental practice faces before it buys AI for recalls.

What the vendors actually publish

Shops name their shop management systems constantly and their AI phone vendors almost never. u/Squeeums lists the field as "Tekmetric, ShopBoss, Shop Monkey, TRACS, Mitchell, ROWriter, CCC, AllData, and Identifix/Solara", plus "ShopGenie, Kukui, and AutoOps" on scheduling. So I read the pricing pages.

AutoLeap publishes the clearest number in the category, and publishes it properly. Its AI receptionist page prices the product on a table of its own: $1 a call pay-as-you-go with no contract, $99 a month for 200 calls, $199 a month for 500, overage $0.75 a call on either tier, and small print noting a $100 setup fee may apply. It does not need an AutoLeap subscription under it. The page says it works with your current shop software, and the signup form asks which system you already run. AutoLeap's shop management plans are a separate product at $179 to $449 a month depending on tier and whether you pay monthly or annually.

Two hundred calls is about nine a business day. Past that you are paying $0.75 a call, so $99 is a floor rather than a price, and the tier it actually describes is after-hours and overflow, not the front desk.

Steer, which owns AutoOps and Mechanic Advisor per its own navigation, publishes Booking Tool at $189 a month, Essentials at $479 and Ultimate at $629, plus an AutoOps Pro add-on at $80 a month marked "Pricing is per location". AutoOps Voice sits inside that add-on, and the $189 tier already lists "Deferred work upsell", so declined-work follow-up does not start at $629. Its Call Assistants page also publishes a demo line, 781-574-9408, and invites you to call it. Do that before any sales call. Almost no vendor in any trade I have covered lets you hear the product as a customer would.

Tekmetric ($199, $349 and $439 a month, roughly 10% less billed annually) and Shopmonkey ($239, $399 and $499, including three, four and five user seats respectively and $20 a month for each one after that) publish full price lists, and neither page I read puts a price on an AI phone-answering product. Shopgenie now redirects to "Shopgenie - Now Tekmetric Marketing", its pricing URL 404s, and its Jasmine AI carries no published price. AutoOps has no pricing page, Mitchell 1 none I could reach, and Numa sells to dealer groups, its pricing URL serving the homepage of what it calls an AI operating system for car dealerships.

Where AI is the wrong answer

Explaining an estimate to a customer. The r/mechanics thread catalogues what happens when the desk lets a model talk about the car. Repair orders arrived reading "Install freon and inspect, possible condenser" when, in the tech's words, "the customer said NOTHING about condenser." Another tech:

Mine constantly use ChatGPT to rewrite my non English speaking techs garbage stories, then fire it off into an email to the customer for approval without proof reading them to see if it makes sense or is even correct/whats needed. Absolutely infuriating

An estimate is a priced commitment about a physical machine, and a fluent paragraph that invents a condenser is worse than a blunt one that does not.

Diagnosis on the phone. From the same thread:

Diagnosing vehicles is one of the WORST uses of AI conceivable right now. I have played around with it a lot and it's comically bad. Like "Poor gas mileage = Engine rebuild due to low compression" bad.

A one-bay or two-bay shop with single-digit missed calls. Buy nothing. Voicemail with a same-day callback is what the owners in these threads run, and at that volume $99 a month buys a machine that irritates the callers you do get.

A declined-work list your system cannot mark complete. Until the vendor answers the clearing question, automating outreach automates the wrong texts. Fix the state problem first, by hand if you must, and you may find you no longer need the automation.

Any of it judged by the vendor's dashboard. Calls handled is not appointments kept, and appointments booked is not tickets closed. The tech above watched a system book appointments "nothing like the customer explained." Every one counted as a success in somebody's reporting.

What this actually costs

Count missed calls for a month: time of day, open or closed, and whether it was plausibly a booking. Four a week after close is a voicemail problem, not a software problem.

Pull your declined recommendations for the last twelve months and read fifty. How many are still open, how many were quietly done elsewhere, and how many are price-shoppers your own advisors would tell you never to call.

Then ask every vendor the clearing question in writing, ask whether the booking flow can see tech capacity and not just an open slot, and call Steer's demo line at 781-574-9408 so you know what your customers would hear.
